A vague RFQ yields vague, incomparable proposals. To accurately evaluate suppliers, you must provide precise specifications and demand detailed engineering responses. Use this framework to structure your procurement process.

Product & Raw Material Specifications

Start with the product the line must make, not a copied machine specification. Define the raw material and finished-product range clearly enough for suppliers to propose the correct process and explain any technical assumptions.

  • Application and sample product, including photos or reference samples
  • Fiber or polymer type, blend ratio, denier, staple length, and condition
  • Target GSM range, finished and process width, thickness, and roll format
  • Required throughput and quality criteria such as tensile, uniformity, or filtration performance
  • Number of products and expected changeover frequency

Facility & Utility Constraints

Share a dimensioned site drawing and utility information early. The supplier needs to know what space, access, power, heat, air, water, ventilation, and material-handling resources are available before finalizing a layout.

  • Building length, width, clear height, columns, doors, floor level, and load limits
  • Incoming material, finished-goods, forklift, crane, and maintenance access
  • Voltage, frequency, phases, available electrical capacity, and local standards
  • Gas, steam, thermal oil, water, compressed air, drainage, and exhaust availability
  • Ambient conditions, dust controls, noise limits, and applicable safety requirements

Required Deliverables from the Supplier

Ask every supplier for the same documents and commercial breakdown. This makes technical differences, exclusions, and assumptions visible before negotiations focus only on the total price.

The RFQ should state who is responsible for every interface. Cabling, ducting, platforms, piping, local labor, lifting, utilities, civil works, and production materials are common sources of scope gaps.

  • Process flow, preliminary layout, machine list, and supply boundary
  • Capacity assumptions and utility-consumption estimate
  • Main component list and control-system architecture
  • Price breakdown, exclusions, payment terms, shipping basis, and quotation validity
  • Documentation list, spare parts, manuals, drawings, and software backups

Lifecycle & Commissioning Questions

Define how the line will be installed, started, tested, and handed over. Ask for proposed acceptance criteria and project responsibilities rather than relying on general statements about turnkey delivery or support.

  • Project schedule assumptions and buyer decision deadlines
  • Factory acceptance, site acceptance, and production trial criteria
  • Commissioning team, local support needs, and working language
  • Operator and maintenance training deliverables
  • Warranty terms, exclusions, support channel, response process, and spare-parts lead times

By standardizing RFQ requirements, buyers can compare technical assumptions, scope boundaries, and project responsibilities on a more consistent basis.
